Job Summary

The Office Manager / Senior Administrative Assistant provides high-level administrative, operational, and office management support to leadership and staff. This role ensures the smooth day-to-day functioning of the office, supports senior leaders with complex administrative needs, and helps implement systems and processes that improve efficiency, organization, and compliance. The position requires strong judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities

Executive & Administrative Support

  • Provide advanced administrative support to senior leaders, including calendar management, meeting coordination, and preparation of materials
  • Manage confidential communications, correspondence, and records with professionalism and discretion
  • Support executive reporting, documentation, and follow-up on action items

Office & Operations Management

  • Oversee daily office operations to ensure a well-organized, efficient, and professional work environment
  • Manage office supplies, facilities coordination, and vendor relationships
  • Develop, maintain, and improve administrative systems, workflows, and documentation

Financial & Vendor Coordination

  • Assist with expense tracking, budget monitoring, invoice processing, and financial reporting
  • Coordinate vendor contracts, service agreements, and renewals
  • Support cost control efforts through process improvements and vendor management

Policy, Compliance & Process Improvement

  • Ensure adherence to organizational policies, procedures, and applicable regulations
  • Maintain organized digital and physical filing systems
  • Identify opportunities for improved administrative processes and implement solutions

Event, Travel & Project Support

  • Coordinate meetings, events, and logistics, including travel arrangements
  • Support internal projects and organization-wide initiatives as assigned

Qualifications

  • Several years of experience in an administrative, executive support, or office management role
  • Strong organizational and time management skills with the ability to prioritize competing demands
  • Excellent written and verbal communication skills
  • High degree of discretion and professionalism when handling sensitive information
  • Proficiency with common office software, scheduling systems, and administrative tools
